This policy covers visitors to www.existentia-films.com and enquiries made through its contact channels.

Information you provide

When you use our contact form, we receive your name, email address and message. If you contact us directly by email, WhatsApp or social media, we also receive the information you choose to share through those channels.

We use this information to respond, discuss your project and prepare proposals.

For enquiries about entering into a contract with you, our legal basis is taking steps at your request before entering into a contract. For other correspondence, including enquiries on behalf of an organisation, we rely on our legitimate interest in responding to relevant business enquiries.

Providing information is voluntary, but we need sufficient details and a means of contacting you to respond. Please avoid including sensitive information that is unnecessary for your enquiry.

We do not add enquiry contacts to a newsletter or marketing mailing list.

Contact form and service providers

Our website and email services are provided through Bluehost. Our contact form uses WPForms Lite, which sends submissions to our email inbox. Form entries are not stored in the WordPress database, and WPForms entry backups are disabled.

We do not use a customer relationship management platform to manage enquiries. Within our studio, enquiry information is accessible to Ana Catarina Calheiros and Henria Farré. Service providers may process information as necessary to provide hosting, email and security services.

We may also disclose information where required by law.

Website security

Our contact form uses Cloudflare Turnstile to help prevent spam and automated abuse. Turnstile processes technical signals, such as IP address and browser information, to distinguish human visitors from bots.

Our legal basis for this security processing is our legitimate interest in protecting the website and our communications. Cloudflare also processes signals to improve its bot detection.

Further details are available in Cloudflare’s Turnstile Privacy Addendum.

Hosting and security services may also process technical logs needed to operate and protect the website.

YouTube videos and cookies

Our website displays films through embedded YouTube players. These players may transmit information to Google/YouTube when they load or when you interact with them, including technical information about your device and video usage. They may also use cookies or similar technologies.

The website currently does not provide a cookie-consent banner or block YouTube embeds pending consent.

Google’s processing is explained in its Privacy Policy. Your browser settings allow you to restrict or delete cookies, although this may affect video playback. Browser settings do not replace any consent that the website is legally required to obtain.

Analytics

We use Google Search Console to understand our website’s visibility in Google Search. We currently do not use Google Analytics, Google Tag Manager or advertising pixels on this website.

We will update this policy if these practices change.

External contact channels

Our website includes links to WhatsApp and social media platforms. When you follow these links or contact us through those services, the relevant platform also processes information under its own privacy policy.

We use messages received through these channels to respond to your enquiry.

International processing

Our service providers operate internationally. Information may be processed outside the European Economic Area, including in the United States.

Details of provider processing are available through Bluehost’s privacy information, Cloudflare’s privacy information and Google’s Privacy Policy. You can contact us with questions about international processing.

How long we keep information

From the date of this policy, our retention rule for enquiries that do not lead to a project is 12 months after the last meaningful exchange, unless a legal obligation or dispute requires longer retention.

If an enquiry becomes a client project, relevant information forms part of our client records and is subject to the retention requirements applicable to that relationship.

Technical logs and provider backups follow the applicable service providers’ retention arrangements.

Your rights

Depending on the circumstances, you may request access to your personal information, correction, deletion, restriction of processing or data portability. You may also object to processing based on legitimate interests.

Where processing relies on consent, you may withdraw it without affecting the lawfulness of earlier processing.

To make a request, email hello@existentia-films.com. We may need information to verify your identity. We normally respond within one month and will explain any lawful extension.

You may complain to a data protection authority, including the authority where you live or work. Relevant authorities include Portugal’s CNPD and France’s CNIL.

Changes to this policy

We may update this policy when our website or processing practices change. The date above identifies the latest version.
